When you use the website, certain technical information may be processed automatically, including:
- IP address;
- browser, device, and operating-system information;
- pages visited and interactions with website features;

2. Why We Process Personal Data
Responding to enquiries and discovery-call requests
We process contact details and communications to respond to enquiries, arrange discovery calls, and take steps requested by you before a possible coaching engagement.
Legal basis: Article 6(1)(b) GDPR where processing is necessary to take steps at your request before entering into a contract, and Article 6(1)(f) GDPR where we rely on our legitimate interest in responding to genuine business enquiries.
Providing coaching services
If you become a client, we process information necessary to arrange and provide the agreed services, communicate with you, administer the coaching relationship, and keep appropriate records.
Legal basis: Article 6(1)(b) GDPR, performance of a contract.
Business administration and legal obligations
We may process information where necessary for invoicing, accounting, record-keeping, compliance with legal obligations, or the establishment, exercise, or defence of legal claims.
Legal basis: Article 6(1)(c) GDPR and, where appropriate, Article 6(1)(f) GDPR.
Website operation and security
Technical information may be processed to operate the website, maintain security, prevent spam or abuse, and diagnose technical problems.
Legal basis: Article 6(1)(f) GDPR, our legitimate interest in maintaining a secure and functioning website.
Analytics
Where Google Analytics or another non-essential analytics service is used, analytics technologies are activated only after consent where consent is required.
Legal basis: Article 6(1)(a) GDPR, consent.
You can withdraw or change analytics consent at any time through the Cookie Settings control on the website.
Marketing communications
If you expressly subscribe to marketing communications, we may use the contact details you provide to send relevant BenMindful updates or offers. You can withdraw consent or unsubscribe at any time.
Legal basis: Article 6(1)(a) GDPR, consent.
3. Cookies and Similar Technologies
BenMindful may use cookies and similar technologies for essential website functionality, security, consent management, and, where you consent, analytics.
Optional cookies and trackers are not activated before consent where applicable. You can accept, reject, or change your preferences through the website’s Cookie Settings.
4. Google Analytics
BenMindful may use Google Analytics 4 to understand how visitors use the website. Depending on your consent and the current configuration, Google Analytics may process information such as pages viewed, approximate geographic information, device and browser information, referral information, and website interactions.
For users in the European Economic Area and certain other European regions, Google states that IP addresses are used at collection for functions such as deriving coarse geographic information and are then discarded before being logged or stored.
Google Analytics is not activated until the required consent has been provided. You can withdraw analytics consent at any time through Cookie Settings.
5. Spam and Abuse Protection
BenMindful may use Google reCAPTCHA or another security technology to protect website forms against spam, automated submissions, and abuse. Such services may process technical information concerning your device and interaction with the website. Where consent is legally required for the particular implementation, the service will only be activated after that consent has been obtained.
6. Cookie Consent Management
BenMindful may use CookieYes or a comparable consent-management service to record and manage cookie preferences. A technically necessary cookie may be stored to remember whether you accepted or rejected optional cookies and to preserve your preferences.
Your consent can be changed or withdrawn at any time through Cookie Settings.
7. Service Providers and Recipients
BenMindful may use trusted service providers where necessary to operate the website or provide services. Depending on the tools in use, these may include providers of:
- website hosting and technical infrastructure;
- email and communications;
- website analytics;
- spam and abuse protection;
- cookie-consent management;
- video conferencing;
- scheduling and appointment booking;
- payment or invoicing services; and
- professional services such as accounting or legal advice.
These recipients process personal data only to the extent necessary for the relevant purpose and subject to applicable data-protection requirements.
8. International Data Transfers
Some service providers may process personal data outside Greece or the European Economic Area. Where a transfer requires a safeguard under the GDPR, BenMindful will rely on an appropriate mechanism, such as an adequacy decision, the EU-US Data Privacy Framework where applicable, or Standard Contractual Clauses approved by the European Commission.
9. How Long We Keep Personal Data
Personal data is retained only for as long as reasonably necessary for the purpose for which it was collected and for any applicable legal, accounting, tax, or regulatory requirements.
- Enquiries may be retained for as long as reasonably necessary to respond and follow up.
- Client information may be retained during the coaching relationship and afterwards where necessary for legal, accounting, tax, or administrative purposes.
- Cookie-consent records may be retained where necessary to demonstrate consent or withdrawal.
- Analytics information is retained according to the settings applied within the relevant analytics service.
When personal data is no longer required, it will be deleted or anonymised where reasonably practicable.
10. Sensitive Information and Coaching
During coaching, you may voluntarily disclose information concerning your wellbeing, health, or other sensitive circumstances. BenMindful does not request special-category personal data unless it is relevant and appropriate to the agreed service.
Where information qualifies as special-category personal data under Article 9 GDPR, it will only be processed where both a lawful basis under Article 6 GDPR and an applicable condition under Article 9 GDPR exist. Where appropriate, BenMindful may request your explicit consent.

BenMindful does not sell personal data.
Personal data may be disclosed where reasonably necessary:
- to service providers acting on our behalf;
- to professional advisers such as accountants or legal advisers;

- request restriction of processing;
- object to processing based on legitimate interests;
- receive certain personal data in a portable format;
